Who I am

I'm Nathan Gordon, trading as Flat White Film. I'm responsible for your personal information. You can contact me at hi@flatwhitefilm.com.

What I collect and why

• Enquiries. When you check a date or send an enquiry, I collect the date you chose, your name, email address, your partner's name, your phone number if you give one, your venue if you have one, and anything you choose to tell me or ask. If you tick the box to book a quick call, I note that too. I use this to reply to you and check my availability.
• Bookings and payments. Calls booked through Calendly, deposits paid through Stripe, and contracts and invoices sent through Wedola. Stripe handles your card details. I never see or store them.
• Wedding details. Anything you tell me about your day, like the schedule, venue and who is involved, so I can plan and film it. I also keep the film files I make for you.

Emails

I use MailerLite to keep track of enquiries and send you the details you asked for. I don't send marketing emails. If that changes, I will only send news or offers to people who have said yes, and every email will have an unsubscribe link.

Showing my work

The films I make remain mine, as set out in my Terms and Conditions. I often use clips and stills from weddings on this website, on Instagram and in portfolio or award entries. If you would rather I didn't use yours, just tell me in writing at any time and I won't. Anything already published will be taken down.

Why I'm allowed to use your information

To answer your enquiry and deliver your film, I need your details to take steps at your request and to carry out our contract. For analytics and advertising cookies, I only use your consent. For showing my work, I rely on my legitimate interest in promoting my business, and you can say no at any time. For records I must keep, such as accounts, I follow the law.

Cookies

The site shows a banner the first time you visit.

• Without your consent, the site sets no analytics or advertising cookies. It only remembers your banner choice, stored on your device for 6 months.
• If you choose Yes, I load Google Analytics, which shows me how people use the site, and the Meta pixel, which measures my adverts and helps show them to people who might want a wedding film.
• If you choose No, neither loads. To change your mind, clear this site's data in your browser and the banner will ask again.
• My films are hosted on Vimeo, set up so that it doesn't track you.

Who I share it with

Only the services that run my business: WPX (website hosting), Google (email, calendar and analytics), Calendly, Stripe, Wedola and MailerLite. I never sell your information.

How long I keep it

• Enquiries that don't book: 2 years.
• Contracts and payment records: 6 years, for tax.
• Online film galleries: live for 90 days, then archived.
• Raw video and audio recordings: kept on encrypted drives, backed up off-site, for 6 months after delivery.

Your rights

You can ask to see, correct or delete your information, object to how I use it, or withdraw your consent at any time. Just email me. If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
