Terms and Conditions

• Non-refundable Booking Fee – £250 – Your date is secured once the fee and a signed agreement are received.
• Balance due – 7 days before the wedding (BACS preferred). Late payment may delay delivery of your films.
• Dates are offered on a first-come, first-served basis; no booking is confirmed until the fee clears.

• Packages range from 90-minute highlights to full-day storytelling. Exact start/finish times are agreed on your pre-wedding call.
• The principal filmmaker is Nathan Gordon. Some packages include a second shooter; extra coverage can be added subject to availability.

• Travel within 50 road miles of Sheffield is included.
• Mileage beyond this is charged at £0.50 per mile (or cost-price rail/air fares).
• Overnight accommodation may be required if travel exceeds two hours after 11 pm; this is quoted transparently in advance.

Flat White Film works in a candid, cinematic style. While every effort is made to capture requested moments, certain shots depend on weather, venue rules and the natural flow of the day.

• 60-second Teaser – 1080p MP4 – delivered within 48 hours
• Highlight Film (4–6 min)* – 4K MP4 – delivered within 3–5 weeks
• Extended Films (ceremony / speeches)* – 1080p MP4 – delivered in the same gallery

All films are supplied via a private, password-protected online gallery for streaming and download. Galleries remain live for 90 days – please back up your files promptly.

Licensed tracks are used so your films can be shared on personal social channels without copyright strikes. Commercial use (e.g. brand advertising) requires a separate licence.

• Arrange any venue permissions for videography and use of radio/lavalier microphones.
• Provide a hot meal for each crew member if coverage exceeds six hours.
• Allow reasonable time in the schedule for battery changes, audio setup and couple portraits.

• Cancellation more than 14 days after booking: Booking Fee (£250) retained.
• Cancellation within 14 days of the wedding: 100 % of the package price retained.
• Postponement: Booking Fee transferred if the new date is available.

If Flat White Film must cancel (e.g. illness) a suitably skilled replacement will be supplied or all monies, including the booking fee, will be refunded.

• Copyright remains with Nathan Gordon – Flat White Film.
• Couples receive a licence for unlimited personal use, including sharing online with friends and family.
• Flat White Film may display excerpts for portfolio, social media and award submissions. Clients may opt out in writing; a reasonable buy-out fee applies.

Video and audio recordings are stored on encrypted drives, backed up off-site, and retained for 6 months after delivery. Personal data is processed according to our Privacy Policy.

Neither party is liable for failure to perform owing to events beyond reasonable control (e.g. extreme weather, pandemic restrictions). Affected bookings will be rescheduled where possible; otherwise all payments except the non-refundable booking fee will be returned.

Flat White Film’s total liability for loss, damage or failure to deliver shall not exceed the amount paid under this agreement. No responsibility is accepted for indirect or consequential losses once reasonable backup procedures have been followed.

Please raise any concerns in writing within 21 days of receiving your final films. Unresolved issues may be referred to the Society of Wedding & Portrait Photographers (SWPP) for mediation.

These Terms & Conditions are a summary only. A full Wedding Videography Agreement will be supplied for signature at the time of booking.
